Coaching and consulting sites need a booking system: clients see availability, select a time, pay if applicable, get a confirmation. The booking integration is core to converting interest to paying clients.

Several integration approaches work with WordPress. The choice depends on the operation's complexity.

The external booking service approach

Calendly, Acuity, SimplyBook all provide booking functionality. The service handles scheduling; WordPress embeds or links to it.

Advantages: established platforms with reliable booking workflow; calendar integration; payment processing.

Disadvantages: external dependency; pricing accumulates with usage; some customization limits.

For most solo coaches, external services are the right starting choice.

The WordPress plugin approach

Plugins like Amelia, Bookly, WooCommerce Bookings handle booking within WordPress.

Advantages: full control; one-time cost for many plugins; deep WordPress integration.

Disadvantages: setup is more involved; the plugin must be maintained; less proven than dedicated services.

For coaches with specific customization needs or budget concerns at scale, WordPress plugins fit.

The calendar integration

Bookings should sync with the coach's actual calendar. Google Calendar, Outlook, iCloud all have integration APIs.

The sync prevents double-booking. The coach's blocked time on personal calendar should be unavailable for client booking.

The payment processing

If sessions are paid, payment processes during booking. Stripe is the standard processor.

The pattern: client selects time, sees price, pays, gets confirmation. The friction is minimized; the conversion is clean.

The session preparation

After booking, the client should get: confirmation email with session details, reminder before the session, video link (for virtual sessions), any preparation materials.

The post-booking communication sets expectations and reduces no-show rates.

The cancellation policy

Clear cancellation policy reduces friction. 24-hour or 48-hour minimum for cancellation; what happens if they don't cancel; whether deposits are refundable.

The policy should be visible during booking and in the confirmation email.

The honest framing

Booking integration is core to coaching site conversion. Investment in the right setup pays off in client acquisition.

For coaches starting out, external services minimize friction. As the practice grows, the choice can be revisited.
